Role Provide routine clerical or other administrative support responsibilities including general telephone, front office enquiries, mail deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork. Maintain, enter and retrieve data from the school's IT systems, such as the school's records system, including computerised student, staff and school records. Maintain and update office records, enrolment data, diary records, and basic written records. Support or coordinate the preparation of standard routine internal and external communication according to school procedures (e.g. form letters, newsletters). Source basic data or factual information from given sources to support school administrative functions, e.g. books, reports, manuals, catalogues, tables, forms, etc. Coordinate the delivery of administrative services within the school. Develop and implement strategies to ensure effective administration procedures. Liaise with school staff in regard to support requirements. Supports the first aid facilities and assists in delivering first aid to students. Responsibilities THIS ROLE IS MONDAY, TUESDAY AND WEDNESDAY ONLY 1. Reception Duties (Visitors and telephone inquiries) 1.1. Communicate effectively with all members of the school community and provide a range client services. 1.2. Provide a professional and welcoming environment to parents, students, staff and visitors to the college. 1.3. Direct telephone and direct inquiries to the relevant staff/area. 1.4. Ensure that all queries are dealt with in a professional and confidential manner. 2. Reception Duties (Student Window) 2.1. Manage all student inquiries and direct to the relevant staff/area. 2.2. Ensure that all queries are dealt with in a professional and confidential manner. 2.3. Collect student payments, ensuring a strict adherence to office policies. 3. Student Administration and Finance 3.1. Ensure that all money is receipted correctly and balances at the end of each day. 3.2. Maintain accurate records of payments and permissions for excursions. 3.3. Proficiently use all aspects of CASES21 accounts receivable, including family receipts and payments, together with a working knowledge of sundry debtor and creditor functions. 3.4. Produce, interpret and analyse financial reports, including family transaction history and matching transaction reports. 3.5. Extract data from Cases 21 using the worksheet function to provide accurate reports. 3.6. Accurately enter student enrolment data into Cases 21. 3.7. Competently use Compass to record and manage student attendance data. 3.8. Competently use the chronicle function in Compass to enter and produce reports. 4. Administration Duties 4.1. Use Microsoft Office to produce letters, spreadsheets and presentations in accordance with the school's templates and guidelines. 4.2. As directed by the Office Manager, support with the delivery of administrative requests and tasks from management and teaching staff, ensuring that a high standard of service is provided at all times. 5. First Aid Duties 5.1. Provide first aid support to students as required. 5.2. Use Compass to record sickbay attendance. 6.
