Heart Health Geelong is a private Cardiology group based at the Epworth Hospital Geelong.
We also have our diagnostics service, Heart Health Diagnostics in Torquay.
We are seeking a part-time (approx.
24-30 hours a week) enthusiastic candidate with a medical secretary background, responsible for assisting in managing, planning, and executing the administration support functions, as well as providing leadership and support to the Administration team.
The Administration Team Leader will need to lead by example, as they will play an integral role in reinforcing the high standards and expectations in delivering an exceptional patient experience.
As we currently have two sites located in Geelong and Torquay, this role would primarily be located at the Geelong rooms, but at times you may be required at either location.
The Role The Administration Team Leader duties include the following: Lead, supervise, and support the administration team, ensuring a collaborative and productive working environment.
Oversee and manage all administrative processes, including day-to-day practice management.
Serve as a liaison between the administration team and other departments or senior management to ensure smooth internal communications.
Ensure exceptional patient experience is provided by the administrative team.
Resolve issues related to administrative services and address patient complaints in a timely and professional manner.
Assist practice manager to manage staff rostering & leave requests to ensure efficient practice operations.
Be responsible for ordering and stock.
Assist with the onboarding and training of new team members.
Assist and participate in staff performance management.
Help facilitate, plan, and implement process improvements to achieve a higher quality and/or improve efficiency in execution.
Assist in managing and reinforcing the standards and expectations regarding patient interactions and communication.
Assist in providing guidance to ensure all administrative tasks are executed appropriately and efficiently.
Perform the same day-to-day responsibilities & duties as their team including medical letter typing.
Undertake any additional duties, when deemed competent, as directed by practice manager.
About You The successful candidate will have: Medical secretary experience.
An understanding of medical terminology, medical and allied health professional organizations, Medicare, and Private Health Funds.
Proficient computer skills & experience with the medical software Genie is highly desired.
The skill and ability to lead and motivate a high performing administration team.
A high level of communication and interpersonal skills.
Ability to work alone and within a team.
An energetic and friendly disposition with a can-do attitude.
Keen attention to detail.
Prioritization and time management skills.
Capability to learn new and diverse tasks that may be present in our expanding organization.
