Support, Connect and Communicate with our high performing Property Team We currently have an exciting opportunity for an experienced Property Coordinator to join Melbourne Airport's Property and Asset Management team. The group consists of Development, Project and Asset Managers that win and deliver projects together across a range of sectors. Whether it be hotels, commercial offices, healthcare, retail, industrial, vaccination facilities, data centres or even surf parks, we do it all. Reporting directly to the Head of Property Development, you will have an insight to everything that goes on within this tight knit team. Your ability to communicate and connect with everyone within our diverse team is key to this role. You'll be the eyes and ears for the Head of PD/AM and be the glue that keeps the team on track. Key responsibilities: The role's duties and accountabilities include, but are not limited to: Undertake bid-coordination and collation for new Property Development submissions Provide co-ordination of procurement of external third parties from budgets including drafting and execution management of various agreements and creation and management of Purchase Orders and associated invoicing. Champion user of all Property and Asset Management related systems as well as all IT coordination. Support Hotel Administration to fulfil all landlord obligations and management of the new Hive Hotel. Property website management and marketing activities Including production of marketing materials through use of such programs as In Design' Assist with managing the preparation and execution of leases, agreements, deeds and licenses. Updating the prospective tenant database and be a key first point of contact for Property. Administrative support to the Head of Property Development including meetings, activities and movements through maintaining 'live', time efficient and accurate schedules. Providing high level documentation support to Property teams through the production of correspondence, agendas, papers, letters, spreadsheets, presentations and follow-up on pending matters in an accurate and timely manner. Organising, arranging and coordinating stationery, travel arrangements, credit card reconciliation, attending internal and external forums as well as minute taking for various meetings, mail (both electronic and postal), ICT requests and other materials/services required by the Property business and team members. Onboarding new staff The successful candidate will have: The position requires a first-class professional with extensive experience supporting a diverse range of stakeholders and a proven ability to prioritise competing deadlines and remain calm and collected under pressure. The incumbent should have excellent written and verbal communication skills and be able to balance how and when to deal with issues and prioritise. The role requires the incumbent to be able to adapt, be efficient and flexible and to be able to anticipate needs and reassess priorities as changes occur.
