About the Role As an Executive Assistant, you will be responsible for supporting three Executives: the Head of Delivery & Transformation, Head of Strategy, Performance & CX, and the Head of Mobile Lending within the Home Loans Portfolio.
This opportunity will suit someone who is highly organised and can thrive in fast-paced, constantly changing environments.
You can juggle competing priorities and different agendas and build collaborative relationships with your stakeholders and are energised when things need to quickly change.
Role Type: 12 months secondment/fixed term Role Location: 833 Collins Street, Docklands VIC What will your day look like? As an Executive Assistant, you are accountable for: Executive diary management– proactive management of diary (internal and external meetings), help to prioritise meetings and manage stakeholder expectation.
Ensuring all documents are sent and received prior to key meetings eg.
Exco/Board meetings.
Business management support activity – including invoices, working with Procurement when required.
Travel management – inclusive of flights, transfers, visas and accommodation bookings, ensuring cost effectiveness is maintained/monitored at all times.
Expense & floor management – reconciliation of Executive monthly expenses, ensuring the receipt and payment of invoices align to expense policy/ensuring all expenses are coded correctly and meeting deadline.
Keep up to date Property system to reflect changes eg.
team relocations.
Building networks with peers as well as forming direct relationships with the Group Executive Offices and their Executive Assistants.
Organising off sites/team events – ensuring all requirements are met and Policies are followed.
Eg. venues and catering booked and dietary requirements observed.

Proven ability to work autonomously or as part of a team.
Able to manage priorities and conflicting issues in a professional manner.
Appreciation of the need for discretion and confidentiality.
Proven ability to build strong, open and collaborative working relationships.
Proficient in the use of Microsoft Word, Powerpoint, Excel, Outlook, and e-mail.
Exceptional organisational skills, with the ability to prioritise management requirements.
Strong interpersonal and communication skills.
Demonstrated ability to use initiative, with the ability to be proactive by taking action and being persistent in addressing issues.
Demonstrated ability to work under pressure in an accurate and timely manner, with the ability to reprioritise work to meet changing demands.
Professional behaviour and presentation.
Experience in managing events and providing support at senior levels of an organisation.
Strong attention to detail.
Strong people focus and empathy, with an ear to the ground across the business, and an integral part of a vibrant team.
You're not expected to have 100% of these skills.
