Demonstrated Capacity to Manage Human Resources and Recruitment:
Proven ability to manage human resources and recruitment processes, including the capacity to direct and support the work of others. This includes assisting in all departmental recruitment procedures, coordinating interviews, and ensuring compliance with Department of Education HR policies and legal requirements.
Demonstrated Knowledge and Proficiency in HR Systems and Policies:
Extensive working knowledge of Edupay, Recruitment Online, Work Cover, and other relevant processes, policies, and guidelines. This includes experience in processing payroll, managing staff leave and conditions, and ensuring all actions comply with Department of Education requirements.
Demonstrated Interpersonal and Communication Skills:
Excellent interpersonal and communication skills for effective interaction with staff, students, parents, and the wider community. Ability to liaise efficiently with stakeholders and handle HR and payroll queries professionally.
Demonstrated Organizational, Problem-Solving, and Prioritization Skills:
High-level organizational and problem-solving skills, with the ability to establish work priorities and procedures. Proven capacity to manage multiple tasks simultaneously, ensuring the accurate and timely completion of HR and payroll responsibilities.

Strong ability to work independently, flexibly, and constructively within a team to ensure continuous and efficient operations. Proactive in enhancing work systems and practices, with a commitment to confidentiality and professionalism in all HR-related matters.
Role
Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource, and other support functions. Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations.
Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal. Management responsibility extends to ensuring appropriate support levels are maintained across the school. Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department, and other government agencies and service providers.
Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.
An education support class position supports the educational services being provided to students but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Responsibilities
Working under the guidance and in collaboration with the Business Manager:
Assist the School Principal and Business Manager with personnel and administrative matters including all departmental recruitment procedures.
Assist selection panels (book interviews and venue, set up venue, prepare and print question sheets).
Ensure all Department of Education Human Resources (HR) policies and legal requirements are met.
Provide successful applicant with HR documentation.
Assist school staff with HR enquiries.
Ensure that staff leave, increments, and changes in working conditions are updated accurately and in a timely manner on EduPay.
Complete the hiring of new staff on Recruitment online and EduPay.
Process and update leave details on EduPay including the approval of personal, carers, and other staff leave.
Liaise with the Daily Organisers for the purpose of staff leave entries.
Process Higher Duties, Special Payments, allowances, and time fraction changes on EduPay.
Investigate payroll over/underpayments and adjust according to DE guidelines.
Process staff earnings and deductions for payroll via EduPay.
Assist staff members with payroll, superannuation, leave, and tax queries.
Monitor and ensure Working with Children Checks (WWCC) and Victorian Institute of Teaching (VIT) registrations are up to date.
Oversee the operations of all aspects of school-level payroll (SLP) on EduPay.
Produce reports such as termination and absence reports to assist the Business Manager.
Filing of all personal/recruitment information.
Update and maintain staff qualifications.
Maintain records/record exiting staff - terminations, staff departure checklists, end of contract thank you letters (other than end of year), exit interview forms, and gifts.
Monitor TIL balances and acquittals.
In addition to the primary responsibilities, the role includes sharing the responsibility of answering the phone and attending to students' needs as required, including occasional first aid duties. These tasks are a shared responsibility with 4 other team members.
Ensure confidentiality is maintained.
Undertake other duties as required.
