Our Kaluza HQ is in the UK, where we currently have over 450 people - you'll join the team in Melbourne where we have 30 people and growing! You'll be joining the People Team, reporting into our People Lead and working closely with our General Manager.
What will I be doing? Reporting into our People Lead, you'll play a pivotal role in supporting our General Manager as his Personal Assistant, but also support the wider People Team in Australia as we grow.
Your main responsibilities will be: Leading on diary management for the General Manager - coordinating his diary, planning travel arrangements, expenses, liaising with current and prospective clients, people reporting and supporting our Exec members when they visit Melbourne.
You'll ensure a smooth running of our Melbourne office including health & safety, ordering office equipment and groceries, planning team socials and events, supporting office-related communications, diversity celebrations and initiatives, making sure our office is an engaging space to work in, and more.
Acting as a cultural ambassador for Kaluza - ensuring we effectively onboard and integrate the new Australian teams with the wider Kaluza folk based in Melbourne and across the globe.
Playing your part in making Kaluza a place we are all proud to be a part of by finding ways to champion our values on the ground in Melbourne.
Onboarding new Kaluza folk, including right to work and reference checks, office and people systems access, and running our Company Induction.
Supporting our People Lead with some Talent Acquisition tasks, such as scheduling interviews for candidates using our ATS, Greenhouse.
Due to the nature of this role, you'll be expected to work at least 60%+ of the time from our office in Melbourne CBD.
Is this the job for me? Ideally you'll have prior experience as a Personal Assistant and/or People Team Coordinator/Office Manager/Workplace Coordinator.
Ideally you'll have the following skills: Super organised and proactive - you'll like things 'neat and tidy', love implementing processes, and can keep on top of different streams of work and diary planning at once.
Optimistic - you'll enjoy working with people and can help partner with them to find the best solutions.
Forward-thinking relationship builder - you can make people feel at ease, and bring your positive energy to the office both day-to-day and when helping to run office events.
A growth mindset with a 'hands on' approach, a willingness to learn new things and roll up your sleeves is a must.
A passion for continuous iteration - if you spot an area of improvement, you proactively go after it.
