Role The Senior School Administrative Support Officer/ Teaching and Learning Support Officer role at Gladstone Park Secondary College will provide support with the daily work and planning for the Senior Sub School to enable them to serve the school community. The role is multifaceted, working directly with key stakeholders of the Gladstone Park SC Community. Attendance requirement for this position is full time (38 hours per week) Monday – Friday 8:00am – 4:06pm. Any attendance required at meetings outside these hours will be subject to the college's Time in Lieu policy. Responsibilities To provide administrative and keyboard duties in support of the Sub School administration, and logistical support in the preparation of all Sub School processes and events. In addition to this, the role involves supporting the Teaching and Learning Team. All duties will be under the guidance from the Assistant Principal. Administrative tasks below (but not limited to): Senior School Administrative Support Officer Greeting students and visitors on entry to the Sub School. Provide support to students who present at the Sub School. Actively supervise students in the Senior School Study Centre including while they undertake assessments and prioritise coordination of supports if required. Use Compass Student Management System to maintain accurate and timely records for students. Data entry and word processing using DE and third-party applications including Microsoft Excel and Word, including mail merge and database management. Maintain a diary to ensure there is an awareness of all events and meetings that pertain to the Sub School. Manage and maintain the Sub School noticeboard. Administer late, uniform, and early leaver's passes, absences, and medical certificates and study room attendance for the Senior School student population. Undertake regular uniform checks of students and relevant follow through including logging detentions on Compass. Screen and route telephone calls, take and distribute telephone messages. Follow up / record keeping with parents and others re enrolment and other information. Prepare correspondence, meeting agendas, documents and data as required. Assist in information dissemination to the Senior School and wider school community population such as student notices. Participate in team and planning meetings and take meeting minutes when required. Confidential filing as required. Assist in the organisation of Senior School events and activities including budgets scheduling, venue booking and award certificate production. Update student change of details as required. Provide coordinators with absence and lateness reports. Accurately record and update student absence details using Compass if advised by a Yr. level Co-ordinator. Liaise with the coordinators to provide students with detention notices in a timely manner. Provide a range of administrative, research and support duties to the Senior School team. Maintain student files located in the Sub School office including enrolment, attendance, and analysis and reporting of student data as required. Liaise with the School Enrolment Officer to ensure that all student information is correct and up to date. Provide a range of administrative support for leaders of Curriculum, Data, Professional Development and Instruction Model, including, but not limited to school surveys, tracking PD hours and staff attendance at internal PD, administering and tracking PAT tests. Always maintain a high level of confidentiality. Contacting parents as required by the coordinators. Provide first aid to students who present to the Senior School Office for assistance. Other duties as directed by the Senior School Principal. Maintain professional representation of the College. Teaching and Learning Support Officer Provide a range of administrative support for leaders of Teaching and Learning, including but not limited to: Coordinate with Senior School Principal, Program Manager and Exam supervisor to organise, prepare and coordinate internal and external exams so they run smoothly.
