Role Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services.
The role will usually impact beyond the work area or professional field.
It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved.
This latitude will generally be limited by standard procedures and school policy.
Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3.
Management of staff to achieve the expected outcomes is a key responsibility.
Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases.
Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years.
Professional student support positions become a feature at range 3 (e.g.
therapists, psychologists) where standard professional services are delivered.
Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.
Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Responsibilities IT Support: Provide Compass support to parents/carers Maintain family personal and departmental records in Cases21 Manage and maintain school Compass Portal, including coordination of Compass modules Provide a broad range of IT assistance to school staff Devices Hardware: Maintain school owned personal devices including laptops, i Pads and desktops Complete annual audit of school owned devices Assist with deployment, maintenance and support of the DE laptop computers Support core software applications Other associated IT duties as directed, including hardware maintenance and trouble shooting Work with leadership to procure IT equipment Printers / Photocopiers: Maintain printer/photocopier hardware Process and manage printer/photocopier updates, (paper, ink, etc.) Install toners and cartridges and manage printer waste Administration of printer/photocopier software Servers: Liaise with school allocated DE tech staff member to maintain IT infrastructure Assist with systems administration tasks.
Enrolment Administrator: Support parents/carers to understand the enrolment process, including documentation Collect and check all enrolment documentation, ensuring accuracy Input data into Cases21 with accuracy and efficiency Have a strong understanding of DE enrolment policy and procedures, including knowing where to find up to date details Prepare and develop correspondence, reports, presentations, and other printed material as required by the Principal Class and Business Manager.
Treat information in a confidential manner and follow the privacy law, especially when dealing with legal documentation Feel confident liaising with all stakeholders including students, parents, all levels of staff, and other visitors to the school Excellent time management skills, with the ability to forward plan both short and long-term projects and to concurrently manage competing tasks Uniform: Applying to State Schools Relief for uniforms i.e., Foundation and Year 7 students and Hardship Applications Coordinate uniform sizing and distribution.
Ordering Graduation Jackets Assisting parents with using State School Relief App Distribute to families any second-hand uniform donation.
Bus Coordination: Liaise with DE Transport Unit providing details of all student transport arrangements.
Update student demographics in Cases 21 Apply for conveyance allowance and appeals.
Sign off on the delivery of the Crown Coach service delivered to CSDS.
Export Transport Data termly Crown Coaches: Email to the families, information at the end of year, regarding details of student transport information for the following year.
Ensure that DTA guidelines are implemented.
Deliver school-based co-ordination with families and Crown Coaches for student transportation.
Inform Assistant Principal regarding reporting of students with behaviours of concern whilst travelling on the bus.
Provide bus staff with relevant information regarding students or families.
Accept student arrival via Crown Coach tablet and inspect bus to ensure no students remain on the bus.
Organise termly meeting with all stakeholders from Crown Coaches and CSDS staff.
Organise morning tea for the meeting.
Keep accurate records of travel information including travel routes, bus rolls, changes to transport arrangements, permission slips, correspondence to supervisors, families, bus management etc.
Liaise with families regarding issues to changes of transport arrangements and ensure that this information is conveyed to the bus supervisor and teachers.
School Owned Buses: Maintaining records for buses, under the Bus Safety Act File weekly log information sheets Administration duties: Performing tasks to support the general administration of the school General meet and greet and responding to enquiries, deliveries etc.
at front office Assists sign in of late arrivals / early departures, Carers, Visitors, Tradespeople Welcoming casual relief staff and assisting them with sign in and school orientation Answering phones and passing on messages via email or message slip.
Contacting parents when directed Monitor Croydon SDS emails and forward or respond Updating and ensuring the availability of school proformas ie LSL forms, CRT forms, sign in sheets Receipting payments of cash (immediately) and eftpos or Compass payments through CASES21 General student filing Coordinate the fortnightly publication of the school newsletter through i Newsletter Word processing tasks and photocopying Support the principal and assistant principal with a range of administrative tasks.
Printing communication books for each term Updating lists: Groupings, telephone, staff lists and the like Update student contact and emergency lists and print for emergency folder Set up school brochure packs Liaise for fundraising events with the Parent Fundraising Committee Ordering of stationary for each semester Ordering and managing the supply of stores sanitation Reqs and materials.
i.e., toilet paper batteries Maintaining the photocopier and ordering supplies of paper Organise catering for school functions Maintain staffroom duty roster Copying student files for transfer Transferring Student reports and IEP to U drive Maintaining student absences in Compass, sending SMS and printing monthly reports and entering exemptions Who May Apply Individuals with the aptitude, experience and/or qualifications to fulfill the specific requirements of the position.
