Within DSSD, the Security, Information and Privacy Division (SIPD) is responsible for the strategic direction, governance of processes, provision of advice, stewardship, and promotion of protective and cyber security, information and records management, and privacy.
SIPD is seeking a VPS5 Information Management Systems Support Engineer to be a member of the Information and Records Management Unit reporting to the Information Management Systems Support Specialist.
This role is responsible for supporting the implementation of an enterprise Electronic Document and Records Management System (EDRMS) to operate on our M365 platform.
This is a pivotal role to increase Share Point Online capability across Victoria Police through better governance and consistent IM practices to meet state regulations and mandatory standards.

Your duties will include: Providing technical expertise on IM projects and initiatives, providing technical recommendations for solution delivery, risk mitigation, and/or issue remediation.
Troubleshooting, prioritizing, and serving as a technical escalation point for risks and issues.
Providing support to increase the uptake of Share Point Online to realize the full benefits of M365 and the manage-in-place EDRMS (Record Point/Records365) enterprise-wide.
Developing and enhancing procedures and guidelines aligned with relevant IM and data standards.
Providing input into the design of new implementations and integrations with the EDRMS, IM products, and other Victoria Police systems.
Administering document management workflow tools to support onboarding, helpdesk/enquiries, troubleshooting, enhancements, integrations, and reporting.
Working collaboratively with internal and external stakeholders and service providers in the design, build, testing, and deployment of contemporary IM systems and products.
Proactive monitoring and reporting on the performance and quality of IM services and products, identifying and implementing improvements and enhancements as required.
Translating business needs and requirements into workable and sustainable technology solutions to support digital transformation.
Working with our IM Specialist and EDRMS Product Manager to ensure continuity and consistency of quality IM services across the organization.
As the successful applicant, you will have: Demonstrated experience and knowledge of data, information, and records management principles, standards, and policies within the Australian government sector.
At least 5 years of experience in administering Share Point Online.
Demonstrated ability to deliver high-quality services to internal and external stakeholders, ensuring that their needs and expectations align with business requirements.
Effective communication skills, both verbally and in writing, with a range of audiences, using appropriate language, tone, and style in accordance with internal policies.
Experience in writing clear and concise reports on complex issues and projects.
Ability to work independently and as part of a team, managing competing priorities and deadlines in a fast-paced environment.
Problem-solving and analytical skills, applying sound judgment and decision-making in complex situations.
A tertiary qualification in IT/Share Point Online or records and information management or equivalent professional experience.
The following criteria is highly desirable: Experience in administering a manage-in-place EDRMS (e.g., Record Point/Records365).
Experience in administering document management workflow tools.
Knowledge and experience in the operation, maintenance, and administration of Microsoft and Windows-based environments such as Active Directory and Group Policy.
Requirements and relevant information: Working within the Security Information and Privacy Division, Digital Services and Security Department.
This position is located at Victoria Police Centre, 311 Spencer Street, Docklands, and will require visits to other Victorian police sites.
The successful applicant will be required to undergo National Security Vetting, achieving and maintaining a security classification of Negative Vetting Level 1 (NV1).
