About The Branch The Corporate Services branch provides critical strategic and operational support services to ensure the continual success and advancement of the VGSO.
Balancing an appreciation of the complexities and nuances of the public sector, along with the requirements of operating in a competitive legal services environment, Corporate Services delivers proactive, effective and efficient services to VGSO's internal and external clients.
Functions within Corporate Services include but are not limited to; Finance, Business Development and Marketing, Information, Communication and Technology (ICT), People and Culture, Strategic and Business Planning, Business Support and Administration.
About The Role The Practice Management Systems Analyst Lead is responsible for the full ownership of the technical management and day-to-day administration of VGSO's practice management systems (Elite 3 E and Cosine), ensuring seamless integration, functionality, and technical reliability.
The role will provide responsive and proactive day-to-day support to VGSO branches, including timely escalation and follow-up of issues with VGSO Information and Technology Team and external vendors, ensuring swift and effective resolution.
The role requires excellent attention to detail, documentation, stakeholder management & communication skills.
The role has a focus on the delivery of high-quality business outcomes and will take responsibility for ensuring both the technical reliability of VGSO's practice management systems and its alignment with overall organisational objectives.
Key Responsibilities Oversee the management and administration of VGSO's Practice Management System (Elite 3 E and Cosine), including overseeing all technical aspects as well as ensuring alignment with business needs.
Ensure the system's stability, reliability, and performance from both a technical and business perspective.
Provide high quality and responsive support, advice, training and technical expertise to all staff in relation to the day-to-day operations and administration of the practice management system (Elite and Cosine).
Contribute to and oversee the successful day-to-day operations and administration of the practice management system (Elite 3 E and Cosine), ensuring both technical reliability and alignment with business objectives.
Lead technical projects related to the Practice Management System (Elite 3 E), including upgrades, integrations, and custom development.
Working with internal and external project team members, manage or support the implementation of additional systems and applications such as automation tools.
Participate in requirements gathering, selection of appropriate application, design, testing, and documentation.
Proactively liaising with all colleagues to ensure that service queries are resolved effectively and efficiently.
Liaising and working closely with IT in implementing any system changes or updates.
Providing training and support to end-users.
Update existing or prepare new system manuals as required.
Responsible for maintaining and supporting the day-to-day operations of Cosine and Elite.
Ensuring month end close, as well as, year-end close is actioned in a timely manner.
Perform ad-hoc analysis and prepare advice for internal stakeholders (e.g.
legal branches, finance and IT teams) and external stakeholders (e.g.
auditors, vendors).
Skills And Experience Tertiary qualification in IT.
Qualifications in finance would be highly regarded.
3 - 5 years business experience within a practice management system or business systems function.
Track record of working in system focused positions and on a range of different system projects, with preferably legal industry practice management systems.
Experience with a variety of organisation-wide systems or practice management systems and proven system development skills will be highly regarded.
Knowledge of financial processes, in particular, in relation to billing and accounts receivable would be desirable.
Relevant experience a legal or professional services environment is highly regarded.
Advanced Microsoft Excel skills.
Technical reporting skills using Power BI and SQL would be advantageous.
