SCHEDULING - CLIENT SERVICES, OPERATIONS AND ADMIN COORDINATOR Administrative Assistants (Administration & Office Support) Full time Are you seeking a role within a supportive team, where everyone gets along in a happy and positive work environment? Located in Port Melbourne, Reliable Plumbing Services is the No 1 commercial plumbing supplier to the University sector, where we support the ongoing preventative, reactive and facilities maintenance within universities around the state.
We're looking for a confident Scheduling, Client Services and Administration Coordinator to support our rapidly growing business.
The role will be based in our modern Port Melbourne offices.
This newly created role is integral in upholding the exemplary standard of service we provide to our dedicated clientele.
You'll be involved in a broad spectrum of tasks such as: Planning daily (reactive) and weekly (scheduled) schedules for our trades team Being the first point of call for incoming technician queries Enter / manage / update and close jobs into the job management system (Aro Flo) Track technicians to ensure the closest resource is allocated Assist with scheduling project work Generate purchase orders Compile regular client reports Manage RDO rosters Invoicing and Job Costing Attending monthly site meetings Hours are Monday to Friday – 8.30am to 5.00pm You will be a positive person who will take great satisfaction in ticking things off your to-do list.
You'll present with a friendly disposition and convey a positive vibe in all your written and verbal communications.
You'll have an awesome work ethic, be highly motivated and self-driven and be eager to have a go at new things, whilst effortlessly balancing professionalism, with your fun personality and great sense of humour.
A key part of the role will be utilising our existing cloud-based software systems.
For this reason, you will need to have excellent IT and computer skills and be comfortable learning new software packages.
We utilise Aro Flo and Xero, and experience in this or a similar job management system/accounting software would be advantageous.
The role involves attention to detail and accuracy in dealing with reports, invoices and KPI tracking.
