About the role Managing Team Inbox, replying to general email queries, triaging emails, and answering phone queries.
Ordering and delivering stationery supplies, printed material, and other items as required.
Maintaining efficient working relationships with vendors on-site, Security, IT team, and Member support services.
Managing the storage rooms, Assets, and Sick Room.
Managing the facilities desk to support VCAT Staff and member queries.
Liaising with the cleaning team for any complaints or feedback and ad-hoc cleaning.
Maintaining stock levels of perishable items (Milk, Coffee, First aid items).
Generic management of building operations (Cleaning, security, stationery, printers, repairs), emerging and current issues.
Keeping a record of hygiene cleaning (Fridges, Kitchen appliances, Water taps) and maintaining the assets, arranging repairs if required.
Maintaining a clean and effective working environment, ensuring timely, preventative, and scheduled maintenance, collaborating with third-party maintenance providers.
Conducting monthly hearing room audits (including Stationery requirements, Lighting, cleaning, furniture, etc.).
Highlighting any challenges in delivering a smooth service and mitigating issues before they impact service delivery.
Records Management.
Maintaining and updating documentation associated with policies, protocols, and procedures to ensure consistency in the application of commercial practices and outcomes.
Record Keeping, minute-taking in meetings, and maintaining all databases including Asset/risk/Issue registers, etc.
Occupational Health and Safety: You would be expected to follow safe work practices, procedures, instructions, and rules at all times.
Perform all duties in a manner that ensures personal health and safety, and that of others in the workplace and the general public.
You may require inspecting the work environment and reporting all hazards or incidents that can cause harm or that represent a threat to public safety.
Ensure compliance with the provisions of the Occupational Health and Safety Act and Regulations at all times.
