Project and Briefings Officer, Office of the Deputy Secretary Job posted: 15/10/2024 The Department of Health plays a critical role in the Victorian health system and is responsible for shaping it to meet the health needs of all Victorians.

About the role: Are you: Highly organised and able to prioritise and manage multiple interrelated tasks, with tight deadlines? Able to work with minimal supervision, have high attention to detail, solve problems, be flexible and take initiative? An excellent communicator with exceptional interpersonal skills and a collaborative approach to work? The Project and Briefings Officer supports the Deputy Secretary, Executive Officer and Office of the Deputy Secretary on divisional and departmental priority projects.
The Project and Briefings Officer is part of a small and adaptable team working collaboratively across a range of areas including administration, coordination of executive and ministerial correspondence, briefings and meetings, advisory, communications and events, Cabinet and Parliamentary processes and reporting.
The role is a key coordination link between the Office of the Deputy Secretary and the Office of the Secretary, other departmental divisions and Ministerial.
How you'll make a difference: Suitable applicants will be able to demonstrate: Knowledge and Skills Planning and organising: Identifies processes, tasks and resources required to achieve a goal; identifies more and less critical activities and operates accordingly, reviewing and adjusting as required; develops and implements systems and procedures to guide work and track progress; recognises barriers and finds effective ways to deal with them.
Written Communication: Prepares complex briefs, letters, emails and reports using clear, concise and grammatically correct language; edits written communications to ensure they contain the information necessary to achieve their purpose and meet audience needs; ensures appropriate style and formats are used.
Problem Solving: Seeks all relevant information for problem solving; investigates and probes for the facts; liaises with stakeholders; analyses issues from different perspectives and draws sound inferences from information available; identifies and proposes workable solutions to problems.
Project Management: Consults, liaises with and influences key stakeholders; produces detailed project plans where objectives are clearly defined and action steps for achieving them are clearly specified; monitors performance against objectives and manages project risks and issues; ensures project objectives are met.
Advanced Computer Skills: Uses a wide range of software applications and assists others with problem-solving on these applications.
Self-Management: Invites feedback on own behaviour and impact; uses new knowledge about self to build a broader understanding of own behaviour and the impact it has on others; understands strong emotional reactions and seeks ways to effectively manage them.
Personal Qualities Relationship Building: Establishes and maintains relationships with people at all levels; promotes harmony and consensus through diplomatic handling of disagreements; forges useful partnerships with people across business areas, functions and organisations; builds trust through consistent actions, values and communication; minimises surprises.

Qualifications / Specialist Expertise Qualifications - Knowledge of the department and its operating practices as well as government processes and information systems would be advantageous.
